Code of Conduct 

1. Purpose

The purpose of this Code of Conduct is to promote a respectful, inclusive, and safe environment for all members of Workplace Wellbeing Professionals Aotearoa (WWPA). Our Code of Conduct guides how we work and the standards we set for ourselves and outlines how people can raise issues when behaviours are not aligned to this.

2. Scope

This Code applies to elected officers, all members, volunteers, contractors or other participants in the WWPA's activities, events or other engagements in any format (i.e. in person, online etc).

3. Values

We are committed to fostering an environment based on the following values:

4. Expected Behaviours

Each of us is responsible for our contribution to the healthy and supportive culture of WWPA. We expect all members to adopt the following Expected behaviours are based on our shared values, some examples include - 

  • Valuing all people for the contributions they make

  • Keeping people’s wellbeing at front of mind

  • Acting with honesty and integrity

  • Declaring significant (i.e. over $50) gifts or gratuities

  • Respectful communication that is timely, courteous and constructive

  • Taking responsibility for their actions

  • Basing decisions on evidence, ethical and cultural best practice

  • Declaring conflicts of interest (real or perceived) as soon as practicable

  • Valuing diversity and ensure a welcoming environment for all individuals

  • Maintaining confidentiality and keeping member information private and protected

  • Asking for clarity or support when required

Unacceptable behaviours include:

  • Harassment, bullying, or discrimination of any kind

  • Aggressive or offensive language or behaviour

  • Misuse of WWPA resources 

  • Breaching privacy and confidentiality

  • Illegal or criminal behaviour in line with local law

5. Confidentiality

Respect and maintain the confidentiality of sensitive information related to the WWPA’s activities and members at all times.

Personal data and data privacy

All personal data will be stored on password protected files or devices and not shared with external parties unless consented by the member to do so.

Access to personal data will be restricted to Steering Committee members. Breaches to privacy and confidentiality will be investigated by the designated privacy officer, and in line with local laws.

Members can request a copy or deletion of their personal data at any time, any requests should be directed to the Steering Committee. 

6. Member Responsibilities

Members are responsible for adhering to this Code of Conduct and reporting any breaches (as below) to this Code of Conduct. Responsibilities are outlined in the WWPA Constitution.

Disclosure of conflicts

  • All members must declare any conflict of interest at the soonest opportunity in relation to any WWPA activities or decision.

  • A conflict of interest register will be maintained by the WWPA Secretary.

  • Should a conflict be identified by another member this must be brought to the Chairperson’s attention as soon as practicable.

7. Breaches to the Code of Conduct

Breaches of this Code may result in disciplinary action, including warnings, suspension, or termination of membership.

When we receive a complaint about a member’s conduct or behaviour we will follow a  reasonable  process and communicate our response in a timely way.

To inform these decisions, the WWPA will consider the following impacts:

  • Has it put anyone’s health, safety, or wellbeing at risk?

  • Did the behaviour disadvantage or cause reputational damage?

  • Was the situation unethical, immoral or offensive?

  • Are there any legal implications likely as a result? Eg. fraud or criminal allegations, charges or conviction/s 

8. Review and Amendments

This Code of Conduct will be reviewed periodically to ensure it remains current and effective.
